Dating from the late seventeenth century, The White Hart pub is a lovely old building tucked away in the quaint outskirts of Headington. In the cosy interior, the bar patrons know theyre in a village pub and enjoy an excellent choice of ales from Everards, along with at least 2 or 3 well kept guest beers. In summer, the charming staff serve customers in the jolly walled garden, which makes this place particularly popular through the sunnier months. At the end of 2008, Dan Smaje, the friendly landlord, took over this long-standing business in what would have appeared a perfect state.
In fact, there was much work to do. After a few months, Dan realised that the IT equipment was hindering the smooth running of The White Hart. He noticed heavy dysfunctions of the old till. Indeed, the system was difficult to use for staff and they couldnt record all takes properly, leading to daily problems of operations and stock management, as well as waste of time and money.
The till we had was archaic, it was an old system and every button needed to double up as something else. This meant it was a slow, time consuming process for staff to use it, and even harder for our part timers who would often struggle to remember where things were. Stock takes were always problematic and certain stock would be very up, whilst other stock was very down, says Dan.
Quite obviously, The White Hart needed a new easy to use and efficient EPOS till. In addition, the landlord was looking for better automated control of the business, reports of both historical data as future trends in sales, along with a simple interface and easy front end management.
To overcome these difficulties/deficiencies, Dan appealed to Octepos, a London based EPOS company, who was able to match his requirements, and even more, as he explains, When I met Octepos and they showed me the features of their system I was very impressed. Price wise, it was in the same range as a standard touch screen till, but its additional functionality over other EPOS systems we looked at meant it exceeded my requirements, and I could see the additional features would be a big bonus to my business.
The Octepos building team provided The White Hart with a hospitality EPOS system. Complete hardware was furnished, including a Toshiba ST-A10 touch screen till and thermal receipt printer, as well as a bar code scanner to aid stock management. Regarding the software solution, it consisted of applications installed by defaults, such as Accounts, Loyalty, Bookings and Table Planner modules, but also the E-Top-Up extra service. The latter presents no cost to the establishment, but is an additional source of revenue for Dans business, I was keen to maximise the bottom line of the business. The benefits from incremental revenue streams such as the mobile top-up market seemed too good an opportunity to pass up.
Finally, Smaje subscribed to the Octepos Support Service. It gives the pub direct assistance via remote access for most of issues and staff training via web conferencing facilities, to avoid any delay and cost of scheduling an on-site visit. It is a system I would definitely recommend to others; its ease of use, especially going into the back office to put on new products which I find it pretty easy, especially with little computer knowledge. If I do have any problems, I give the support engineer a call and they just talk me though it, and if they cant talk me through it they just do it themselves using remote access though my broadband so its all pretty simple, concludes Dan.
